Job Summary: The Property Administrator will provide essential administrative and operational support to the property management team. The role involves assisting with tenant communication, managing day-to-day operations of the property, and maintaining accurate records to ensure the smooth functioning of the property management team.

Key Responsibilities:

  • Maintain and update property records, including lease documents, tenant correspondence, vendor contracts, and compliance documentation.
  • Serve as the first point of contact for tenant inquiries, addressing concerns promptly and professionally.
  • Assist in coordinating property repairs and maintenance, including liaising with vendors and service providers.
  • Monitor and manage accounts receivable, ensuring rent payments are accurate and timely.
  • Prepare monthly financial reports, expense summaries, and other required documentation for internal and external stakeholders.
  • Assist with tenant move-in and move-out processes, including inspections and documentation.
  • Maintain an organized filing system for property-related records, contracts, and communications.
  • Support the property management team during budget preparation, annual audits, and other related processes.
  • Monitor insurance certificates, licensing, and regulatory compliance for property operations.
  • Provide administrative support for tenant meetings, property tours, and other events.

Requirements:

  • 2+ years of administrative, property management, or real estate experience.
  • Strong written and verbal communication skills.
  • Proficiency in Microsoft Office Suite and property management software (such as Yardi, MRI, or similar systems).
  • Highly organized with the ability to prioritize tasks and meet deadlines.
  • Basic understanding of property management and lease administration processes.
  • Excellent interpersonal skills and ability to resolve tenant concerns in a friendly and professional manner.
  • Proven ability to work independently and collaboratively in fast-paced environments.
