DESCRIPTION

The Department of Ophthalmology is comprised of 30 faculty physicians and scientists, 10 resident physicians, 13 post-doctoral physicians and scientists, and over 150 staff with 6 divisions: Glaucoma, Retina, Cornea & Refractive Surgery, Pediatrics, Ocularplastics, and Neuro-ophthalmology. Clinical services are provided at the Shiley Eye Center, Ratner Eye Center, UCSD Health Sciences ambulatory centers, and the VA Hospital. The department has the largest single outpatient clinic at UC San Diego with over 110,000 visits annually and more than 5,400 surgical cases per year. Under supervision of the Clinic Supervisor, the Administrative Assistant performs duties related to patient administrative services, including scheduling, screening telephone calls, triaging patients, and coordinating and scheduling study patients. Responsibilities also include ensuring accurate medical record preparation, online EPIC patient registration, facilitating appointments and dispositions, promoting a welcoming patient experience, filing documents/authorizations, reconciling end-of-day logs and cash handling, and assisting with training and staff logistics. The role supports collaboration with Clinic Supervisors and provides back-up for patient registration and in the absence of the immediate supervisor.

MINIMUM QUALIFICATIONS

  • Experience working in a healthcare clinic and specialty surgery facility with physicians, clinicians, and researchers.

  • Excellent interpersonal skills and the ability to interact tactfully with medical staff, patients, and the public both in person and on the phone.

  • Ability to set priorities, remain composed, and work efficiently under high-volume conditions; strong problem-solving skills.

  • Experience providing patient administrative services, registration, and scheduling.

  • Experience with a variety of healthcare providers (Medicare, Medi-Cal, HMO, PPO, private providers, CCS).

  • Knowledge of medical terminology and the scheduling of tests/procedures, including requisitions and consents.

  • Experience screening telephone calls, directing callers, triaging emergencies when needed.

  • Ability to maintain strict confidentiality and HIPAA compliance.

  • Experience with chart order, alpha filing, and common medical terms/abbreviations.

  • Knowledge of pre-test/pre-procedure instructions and ability to explain instructions to patients.

  • Experience with Microsoft Office, healthcare software, PCs/MACs, and multi-line phone systems.

  • Experience with EPIC online clinic appointment system and accurate data entry in CRT.

  • Experience training clinic administrative staff and directing work to ensure quality patient care.

  • Ability to work collaboratively, promote positive outcomes, and uphold UC Principles of Community.

  • Experience in a complex, fast-paced clinic environment.

PREFERRED QUALIFICATIONS

  • Bilingual in Spanish/English.

  • Ophthalmology medical terminology.

  • General knowledge of UCSD Medical Group clinical services and campus resources.

SPECIAL CONDITIONS

  • Must work Saturdays and overtime during peak periods.

  • Must maintain a professional appearance.

  • Employment is subject to a criminal background check and pre-employment physical.

Pay Transparency Act

Annual Full Pay Range: $50,446 - $62,744 (will be prorated if appointment is less than 100%)

Hourly Equivalent: $24.16 - $30.05

Factors in determining compensation include experience, skills, knowledge, abilities, education, licensure and certifications, and other business needs. The Hiring Pay Scale is the budgeted range UC San Diego Health reasonably expects to pay for this position and may be broader due to internal equity, budget, and collective bargaining agreements.
