Software Implementation Specialist

2025-11-14     Plumb, Inc. Defunct     La Jolla,CA
Description:

Plumb Company Overview

Plumb provides Family Office Accounting/Bill Pay services (PlumbBillPay.com). We have 50+ employees. Our 13 Principles are who we are, or at least who we strive to be, ( Our clients are Ultra High Net Worth Individuals around the United States and some abroad. We are NOT Financial Advisors, rather, we tend to all of the back-office accounting services and provide our clients and their advisors reporting and services.

Position Description

You will own the post-release lifecycle of new features-turning what Engineering ships into measurable operational value. You'll coordinate client rollout, drive adoption, and make day-to-day prioritization calls on manual, labor-intensive workflows across clients while longer-term automation matures.

This is an operations and change-management role rooted in accounting and reporting expertise. You will not develop software; instead, you coordinate the rollout, schedule training with the right stakeholders, and prioritize what gets done, when, and by whom after release. Your insights as an accounting/reporting expert will inform our product lifecycle, but your day-to-day is making sure new capabilities land smoothly and are truly used.

Hands On - Operational Rollout & Change Management

  • Work with Software Development Liason, Operations Lead, and President to implement and build out new features for internal users and external clients to use. This role is a combination of hands on work along with training others to use new features.
  • Coordinate training schedules (audiences, owners, timing, materials) and ensure sessions happen on time-others deliver, you orchestrate.
  • Prepare leadership with succinct recommendations on readiness, cutovers, and rollbacks when needed.
  • Keep everyone aligned through concise status updates and simple playbooks people actually use.
  • Where automation isn't ready, stand up pragmatic interim processes so clients see value now.
  • Make thoughtful trade-offs about effort vs. impact across clients; communicate the "why" behind sequencing.
  • Retire manual steps as product capabilities expand-continuous simplification is the goal.
Adoption, Tracking & Executive Insight
  • Define what "good adoption" should look like for each release and how we'll recognize it.
  • Monitor usage and real-world outcomes (internal teams and clients) and turn signals into plain-English insights.
  • Create brief, decision-ready updates for the President and Executive Management Team that highlight progress, friction points, opportunity for improvement.
  • Partner with Product and Development to ensure we're observing the right things-lightweight, practical, and trustworthy.
Cross-Functional Leadership
  • Be the glue between what our development team produces and how internal users and clients adopt these capabilities
  • Translate feedback into clear follow-ups and next steps; bring focus, calm, and accountability to moving parts.
Current Initiatives
  • Reporting Module
Many clients will start with a hands-on mapping of their Chart of Accounts to Plumb's standardized structure so future automation can scale. You will actively setup clients. You'll: prioritize which clients go first, coordinate onboarding and the mapping effort, interface with clients and internal teams, and oversee ongoing maintenance of mappings across systems.
  • Financial Accounts Integrations
We partner with financial integrators so clients' statements and transaction data flow into one place. You'll: keep an up-to-date view of supported institutions, guide the operational steps for connecting accounts, work with clients during setup, fold this into onboarding checklists, and continually prioritize which clients/connectors to activate next.
  • Payment Automation
Apply the same approach-organized rollout, clear training schedules, purposeful client sequencing, and steady migration from manual to automated processes.

Internal Resources
  • Healthy, ongoing sales pipeline of new clients onboarding monthly.
  • Internal software development team automating various components of our operations' delivery system.
  • Great core group of operational leaders.
Skillsets and Recommended Requirements
  • Deep accounting and reporting experience, ideally with family office / UHNW bill pay and expense-side accounting.
  • A genuine passion for process, clarity, and adoption-you enjoy turning change into routine.
  • Strong judgment about priorities, sequencing, and trade-offs; you make the complex feel manageable.
  • Comfortable collaborating with product and engineering; software-savvy, but motivated by outcomes over tools.
  • Bachelor's Degree required.
  • 2+ years of experience in accounting or related experience.
  • Experience (or ability) to work in a high-growth business environment.
  • Business mindset and understanding of their role here at Plumb.
  • Problem-solving mindset, tackles problems with possible solutions
  • Extremely proactive and able to work with a sense of urgency
  • Motivated by helping others succeed
