Job Title: Servicing Administrative Assistant

Location: Onsite – San Diego, California, 92111

Pay Rate: $18 – $19 per hour

Duration: 2 months contract to start with

Schedule: Monday – Friday | 8:30 AM – 5:00 PM

Number of openings: 2

Position Summary

The Servicing Administrative Assistant supports the Customer Service team by performing administrative functions such as data entry, preparing standard correspondence using templates, scanning and uploading documents, processing mail, and assisting with check requests. This role may also provide light administrative support to the Compliance department and assist with receptionist duties, including answering phones and managing corporate conference room reservations.

Main Task

  • Daily tracking and management of returned mail.

Key Responsibilities

  • Distribute and process daily incoming mail.
  • Respond to routine emails, faxes, and correspondence using established templates.
  • Scan, organize, and manage all Customer Service correspondence including inbound faxes, emails, and mail.
  • Provide copies of loan documents to borrowers, loan officers, and internal teams.
  • Update systems with basic information such as address and telephone updates from company records.
  • Provide responsive and professional service to team members and other departments.
  • Support administrative operations by processing returned mail, faxing and mailing outbound correspondence, statements, and documents.
  • Create daily activity summaries and maintain tracking spreadsheets.
  • Provide receptionist coverage including answering multi-line phones and scheduling meeting rooms.
  • Perform additional administrative duties as assigned.

Qualifications

  • High school diploma or equivalent preferred.
  • At least 1 year of experience providing general administrative support in a back-office financial services environment; mortgage loan processing experience is preferred.
  • Highly organized with strong attention to detail and the ability to work in a deadline-driven environment.
  • Experience preparing certified mail is preferred.
  • Strong data entry skills with proficiency in Microsoft Word, Excel, and Outlook.
  • Ability to perform basic internet searches.
  • 10-key by touch preferred.
  • Experience using document retention software such as Blitzdoc is a plus.
  • Bilingual candidates are preferred.
