About the Role:
The Office Receptionist serves as the first point of contact for clients, visitors, and staff at our Financial Advisory Firm. This person will create a professional, welcoming and organized office environment. This role is responsible for managing the front desk, answering client inquiries, coordinating schedules, maintaining office supplies, and supporting a variety of administrative functions across the team.

Key Responsibilities:
Front Desk and Client Interaction
- Greet and assist clients and visitors, manage the reception area, and help maintain a professional and welcoming office environment.
- Coordinate and manage advisor calendars, schedule client meetings, confirm appointments, and assist with meeting logistics as needed.
- Answer and direct incoming phone calls and emails, respond to general inquiries, and ensure timely communication with clients and team members.
Administrative Support
- Perform a variety of general office duties to support daily operations, including maintaining office supplies, coordinating with vendors, organizing common areas, and assisting team members with administrative tasks as needed.
- Manage and organize client and office documents, including filing, scanning, and maintaining digital and physical records while ensuring accuracy, confidentiality, and compliance with company policies.
- Receive, sort, and distribute incoming mail and packages, prepare outgoing mail and shipments, and coordinate deliveries to ensure timely and efficient handling of office correspondence and materials.
Client Service and Support
- Conduct outreach to existing clients to maintain relationships, provide updates, and identify opportunities for additional planning services.
- Provide courteous and attentive assistance to clients by addressing basic inquiries, helping with routine requests, and ensuring clients have a smooth and positive experience when interacting with the office.
- Facilitate clear and timely communication between team members by relaying messages, coordinating information, and supporting collaboration across departments to ensure efficient daily operations.
- Help maintain a clean, organized, and professional office environment by monitoring common areas, keeping the reception and meeting spaces presentable, and assisting with the overall appearance and functionality of the workspace.
Support for Special Projects
- Assist with event coordination by helping plan, organize, and execute client meetings, internal team events, and special office functions, including preparing materials, arranging logistics, and ensuring events run smoothly.
- Assist with office workflow by supporting team processes, tracking tasks, managing follow-ups, and helping streamline administrative operations to improve overall efficiency and productivity.
Required Qualifications:
- High school diploma or equivalent, bachelor's degree or higher is a plus.
- Previous experience in a receptionist, administrative, or customer service role, preferably in a professional services or financial environment.
- Strong interpersonal and communication skills, with the ability to interact professionally with clients, visitors, and team members.
- Excellent organizational skills and attention to detail, with the ability to manage multiple tasks simultaneously.
- Proficiency with Microsoft Office Suite (Word, Excel, Outlook) and comfort using scheduling or CRM software - Redtail preferred.
- Ability to handle sensitive and confidential information with discretion.
- Professional demeanor, positive attitude, and a strong commitment to providing exceptional client service.
- Ability to work independently as well as part of a team in a fast-paced environment.
Compensation for this role begins at $21/hour and will be determined based on a variety of factors, including relevant experience, skills and qualifications. In addition to base pay, this position offers a bonus potential tied to company profitability, as well as a performance-based incentive. We also offer a 401(k) plan with company matching, paid holidays, sick leave and paid vacation.
