Job Title: Administrative Assistant

Location: San Diego, CA
Duration: 4+ Month Contract

Role Summary

Provides advanced administrative support to senior leadership (Director+), handling travel, calendars, communications, and office operations in a fast-paced environment.

Top Skills (Must Have)

  • Office operations: iProc, P-card, expenses, vendor coordination, supplies
  • Complex travel coordination (domestic & international, visas, expenses)
  • Email management (internal/external, senior leadership exposure)
  • Event/meeting coordination (conferences, team events, vendors/customers)
Key Responsibilities
  • Support Directors/Sr. Directors with daily admin tasks
  • Manage complex calendars and prioritize schedules
  • Prepare reports, presentations, and correspondence
  • Coordinate travel, meetings, and events
  • Maintain office processes, records, and vendor tracking
  • Ensure compliance with policies and procedures
Required Qualifications
  • Bachelor's OR
  • Associate's + 2+ years admin experience OR
  • High School + 4+ years admin experience
  • Strong MS Office (Outlook, Word, Excel, PowerPoint)
  • Experience with SharePoint, Teams, OneDrive
  • Strong communication, organization, and multitasking skills
  • Ability to work independently with confidential information
Preferred
  • Experience supporting senior leadership (Director+)
  • Experience in global/matrixed organizations
