About the Role
A large, well-established healthcare organization is seeking experienced Appointment Center Representatives to support patients across multiple departments. This is a high-volume, highly structured call center environment where quality, accuracy, and professionalism matter just as much as empathy.
You will be the first point of contact for patients calling in to schedule care, ask questions, or route time-sensitive requests. This role requires strong judgment, clear communication, and the ability to stay calm and focused while managing a demanding call flow.
This is a contract-to-hire opportunity with long-term stability for individuals who consistently meet performance, quality, and attendance expectations.
What You'll Be Doing
- Handle a steady volume of inbound calls from patients requesting appointments, information, or assistance across departments such as Internal Medicine, Specialty Care, Physical Therapy, and Lab Services
- Schedule, reschedule, and cancel appointments using established protocols and provider availability guidelines
- Determine the urgency of patient needs, escalating or transferring calls appropriately when required
- Accurately document patient interactions and compose detailed messages for physicians, nurses, and clinical staff
- Provide clear, courteous, and professional responses to general questions using internal systems and databases
- Offer appointment alternatives when needed and prioritize patient needs while maintaining service standards
- Maintain composure and professionalism during difficult or emotional patient interactions
- Meet established productivity and quality benchmarks in a structured appointment center environment
- Perform supporting clerical tasks such as provider assignment, outbound scheduling calls, and follow-up coordination
What They're Looking For - High School Diploma or equivalent
- At least 1 year of customer service or call center experience strongly preferred
- Experience in healthcare, medical scheduling, or appointment centers is a plus
- Ability to navigate multiple computer systems comfortably in a fast-paced environment
- Strong attention to detail and clear written documentation skills
- Professional phone presence with excellent listening and communication skills
- Working knowledge of medical terminology is highly desirable
- Must be able to work onsite; this role is not remote
